One way to grow your business is to hire a dream team of independent contractors to take care of your daily business tasks while you focus on your clientele and marketing efforts. However, if hiring anyone sounds like a daunting task, just follow these tips for best results.

  • Know What You Want

Don’t start the hiring process until you know exactly what position you want and what their tasks will be. For example, hire a Virtual Assistant to manage your inbox and to send out your monthly email newsletter. Hire a Graphic Designer for your website graphics, eBook graphics, etc. Hire a Webmaster who is your technical guru in all things related to how your website runs and who can fix any technical glitches or server issues.

Get the picture? Get specific about what you want and need, then start looking for candidates.

  • Ask for Referrals and Check References

Ask some of your business acquaintances if they have referrals. Start making a list and do some preliminary research by checking their websites and reading testimonials. Of course, keep in mind that testimonials will only show the praise for your candidate so be objective once you start the interview process. Always ask for references and make a point of calling those people. This is YOUR business that you’re entrusting to this unknown entity; you want only the most trustworthy people on your team so check references.

  • Plan for an Interview Process

First, you need to publicize your opening. Then you need to wait for job proposals to come in. Next, you need to interview your ideal candidates. Lastly, make a decision and make an offer. How quickly you proceed through this process is up to you but make time to speak with each of your candidates, especially if everything on their website looks perfect and ideal. Sometimes you need to talk to someone to get a feel for how they operate and how they conduct themselves professionally.

If you plan on publicizing your opening far and wide, whittle down your candidate list by giving them specific directions to follow when submitting their proposal or resume. Those who can’t follow simple instructions will knock themselves out of the running.

  • Give Your Candidates a Simple Task to Complete

If you’re having a tough time deciding between candidates or if you want to simply test their skills, give them a small task to complete. Evaluate if they followed your directions; were their mistakes; did they meet your deadline; is there anything you would have changed about any of these submissions. Go one step further and give them feedback along with a change in the project to see how they handle receiving constructive criticism.

  • Sign a Contract

Once you make a hiring decision, send a simple contract to your new hire, indicating a start date and what tasks they will handle. Write out your expectations of the original team member as well “make or break” items which will lead to voiding the contract. With a contract, there is no guesswork involved.

Losing Money on Business Tools You’re Not Using?

Part of running a profitable business is running it efficiently and using cost-effective measures to keep overhead expenses low. Even if your business is 100% online, it pays to look at all your business tools and making sure you have the best deal available.

However, I’m not arguing that you should use all freebie tools or salvage an older, unreliable laptop. You need the proper tools to run your business; but how many times have you purchased training or software because the price was excellent? I’ve done that many times over the years and let me say from experience: if you don’t use the product even once, it’s a complete waste of money, no matter how good the deal.

So let’s run down a checklist of basics you need and see if you find any hidden gems that you can resurrect.

Autoresponder – yes, you should be growing your list. At the very least, have a prospect list and a separate client list. Use this autoresponder to keep in touch with your prospects, keep them informed about any new coaching programs you launch, or any deals that will help them achieve their goals.

The range of autoresponder types varies greatly. You have Mail Chimp, which is free up to 2,000 names but you have to pay for each mailing you send out. Then you have Aweber or Get Response which offers monthly payment plans; or you have very powerful platforms such as Infusionsoft, which is so much more than just an autoresponder (the pricing is much more, too). So, think about your budget, think about how often you’ll use this tool, analyze if you really need all the features each tool offers, then ask how easy it will be to move existing lists and if they will do that for you.

Invoicing System

You’ll need a way for people to pay for your sessions and just like the autoresponder, you have multiple possibilities to choose from.

PayPal is the easiest – and least expensive – way to send invoices. Perfect if you’re just starting out and want to limit your expenses. FreshBooks is a cloud-based accounting system with a monthly fee and features ideal for a solopreneur. 17hats is a project management system that also has an invoicing feature. Again, pick and choose what you really need. If you decide to pay for a system that you’ll “grow into” – meaning it has features you don’t need right now but could use in the future – make it a priority to learn about those features and how you can implement them to make the pricing worthwhile.

Landing Page Templates

If you want to offer coaching packages and products, you’ll need a way to create professional-looking landing pages. First, check your website theme and look for a landing page template that’s built in. If you don’t have that option, a platform like Leadpages allows you to create landing pages easily and has a list of other features, all for a monthly price. Similarly, Optimize Press offers landing page templates along with membership portals, sales funnels, and webinar sign up pages.

Sure, it sounds funny to hear of a coach hiring a business coach, or a virtual assistant hiring her own VA. But these are simple examples of how sometimes experts need to hire their own experts to give them some objective insight into their business or their lives.

You can be a top business coach but still, need help to grow your business. Sometimes life coaches need help sorting through their own personal messes just like they help their clients. When you’re too close to a situation, it’s difficult to look objectively for solutions. Of course, what works for one person doesn’t always work for the next so hearing some different ideas from an outside source may be the solution you need.

Expand Your Team to Include Your Personal Business Coach

Take some of your own advice to heart: think of hiring a business coach as an investment in your business. I’m sure you’ve told clients that before, right? The same is valid here. Think of how you currently run your business and what long term goals you have in mind. A coach can help you prioritize those goals and offer solutions to problems. They can also look at your day to day activities and think of creative ways to streamline some processes.

Never Think of Hiring a Coach as a Sign of Weakness or Failure

Do you fall victim to the false narrative that because you’re a business coach, you should know everything there is to know about business? Or that because you have this knowledge, you should have a multi-million dollar coaching business? There’s something to be said about knowing and living what you teach, but there are always situations when you need that outside help.

Here’s another example: If an unscrupulous attorney gets himself into trouble, he hires another lawyer to represent him. Even though the lousy lawyer has the knowledge to represent himself, he often won’t, because he needs that objective outside viewpoint.

Virtual assistants are another example. Their primary focus is helping their clients build their business, but then the backend of the VA’s business often gets ignored because she’s so busy doing client work. It’s not unheard of for VA #1 to hire VA #2 to handle the daily business tasks so VA #1 can focus on her client’s work.

How to Find a Coach’s Coach

No doubt you know other coaches through your networking efforts, so start with those names when you’re ready to find your own coach. Think about their personalities.

Learn more about their coaching styles. Again, think of your own advice you give to prospects: you’ll want a coach who won’t judge you and who will make you feel comfortable confiding your deepest fears and secrets. As you know, coaching only works when you are willing to open up and ready to do the work, so you need to find that coach who encourages those things. Don’t forget about the interview process. Don’t just pick your friend because you’ve been following each other over the years; interview other lesser known coaches in your circle, too, to find the perfect fit.

Are you one of those business owners who hates looking at their bank statements?

If you’re in business to make money, why wouldn’t you want to look at your numbers?

Have no fear: you’re not alone. Money is a huge stressor for business owners, in part because they get confused over the bookkeeping aspect of the business.

However, the only true way to plan your business and to earn your wealth is to know and understand your financial statements. Avoiding your bank statements will not make your financial problems disappear.

Tip #1: Choose a Bookkeeping System

You have a choice of handwritten ledgers, computer software, or hiring a bookkeeper. Unless you have a degree in Accounting, handwritten ledgers can become confusing and difficult to update if you fall behind, so I would recommend researching the multitude of bookkeeping software titles available.

If you want to hire someone, take your time to plan an interview process and check references, even if you hire a local firm who will assign someone to handle your records.

Tip #2: Do Your Bookkeeping regularly

If you’re not ready to hire a bookkeeper, choose one day a week or twice a month to log your receipts. For those with online businesses, your expenses will be nominal; those with physical locations will have much more overhead, which makes regular, accurate bookkeeping even more critical.

Don’t wait until two months before the tax deadline to take out a shoebox of receipts and start entering them. Also, reconcile your bookkeeping records with your bank statements every month. Keeping a regular bookkeeping schedule also diminishes the chances of duplicate entries, or entries being logged into multiple or wrong accounts. All this wreaks havoc at tax time to so do it right from the start.

Tip #3: Know the Jargon

Whether you’re using software or a real-life bookkeeper, knowing what the different accounting jargon means will further your understanding of how profitable your business is running. Know the difference between Accounts Receivable and Accounts Payable.

Keep accurate inventory counts of your physical products (very often this is the only way to know if you’re a victim of theft). Knowing the difference between Employee and Independent Contractor means a world of difference when it comes to calculating Payroll Taxes.

Tip #4: Make Detailed Notes

For every transaction that is entered into your books, add a detailed note. No more guessing games at tax time. Enter the reason for the expense, person or company, etc. Also, avoid using acronyms in the notes. While it makes sense to you now, it may look like a foreign language in the future, or to a new bookkeeper or employee.

Tip #5: Keep Personal Expenses, and Business Accounts Separate

This may seem like common sense, but I can’t say it enough. If you use PayPal for your business payments, do not pay personal expenses with that same account. The same is true if you have a business checking account at your local bank. Don’t use that account to pay your gas bill.

The more you know about your company’s financials, the more power you have to fix any problems and to steer the ship toward more earnings. Your business was built to be profitable. Embrace the bookkeeping practice so you can better understand your profit margin and run your company more smoothly.

How To Be More Creative & Tap Into The Power Of Vision Boards To Reach Your Goals

I am a huge advocate of vision boards! It’s such a fabulous way to focus on your dream life and actually visualize what you want to achieve. I think it’s a tremendous stress reducer because dreaming usually isn’t stressful and it’s even fun when you do it with a bunch of girlfriends!

But if scanning through old magazines isn’t your idea of fun (or you just moved to a new city and don’t have many friends yet), you can still create a vision board – or maybe call it a vision diary or journal – without all the cutting and pasting.

  • Digital Vision Boards

Achieve the same effect of a paper-and-paste vision board but use a Word document and free digital photos instead. If you want more design elements to your digital vision board, try Adobe Spark’s free collage maker. This is a fun alternative if you are pressed for time during lunch or if you just don’t have a stash of magazines. Once your digital vision board is complete, make it your computer’s wallpaper so you will have a reminder every day of why you’re working so hard.

  • Make Your Vision Board a Part of Your Office Décor

If you’re hosting clients in your office, you may not want your cut and paste vision board displayed in the center of the wall, but you can certainly turn your vision board into office décor with a simple frame.

Instead of using a collage template, consider framing individual, large-sized photographs to display in a wall group. Take a photo of your dream beach house, the location of your bucket list vacation spot, or anything else that holds significant meaning to you. For a vision board to work, you need to see it every day, so looking at these framed photographs will serve the same purpose: to inspire you to work hard to reach those goals.

  • Add a Mix of People, Places, and Things

So often we expect vision boards to be filled with fancy gizmos and gadgets but think about your ideal life and what makes it uniquely yours. Who are the most important people in your life? Where do you dream about traveling or living? Life isn’t just about how many THINGS you can accumulate; it’s also about the people we love and the adventures we dream about.

  • Turn Your Vision Board into a Journal

What better way to combine your vision board with journaling than to turn it into a journal! Or at least turn the board into the cover of your journal. Simply take some photos of your vision board, print them on heavy-weight card stock, resize, so it fits the cover of your journal, and adhere it with tape or craft glue. Now when you want to write about the day’s ups and downs, you can revisit your goals and find new inspiration, especially if you had many challenges throughout the day.

  • Use Pinterest

This one goes hand in hand with Digital Vision Boards, but it’s even easier to use than a collage maker. If you don’t desire the entire world to know your hopes and dreams, make the board Secret. The only downside is Pinterest boards can get full very quickly, and it may be challenging to focus on what you really want. To combat this problem, create a secret board for each area of your life (Work, Home, Vacation Home, Where I Want to Live, etc.). This way you can take a screenshot of your boards from the Pinterest dashboard and still see what you’re working to achieve.

Competitor Analysis Is Critical For Success

Doing market research before starting your business is always wise, not to discourage you from trying but to figure out before investing whether there is merit to your ideas.

Instead of feeling discouraged when you realize how many businesses there are in the world – or even just in your state – consider this competition a good thing. This is positive proof that a need exists for that type of business and they have paying clients.

Now dig a little deeper into your research and determine how many of these businesses are in your specialty. Again, not to discourage you but to encourage you to set yourself apart, create a unique selling point that will attract your ideal clients.

When is Spying Unethical?

Smart business owners will always know what’s happening within their industry as well as locally with their competitors. In many instances, you and your competitors are vying for the same clients, so it’s smart to know who’s doing what to attract those clients.

Market research crosses the line, however, when you copy exactly what your competitors are doing. If a coach sends out a direct mail postcard and you copy the text word for word but add your own name to it, that’s copyright infringement and unethical.

Is sending out a direct mail postcard a good idea? Sure! But hiring your own copywriter and graphic designer to make YOUR postcard unique is a must.

The same is true when creating your website, sales pages, and signature classes. Always invest in your own business with your own professional copywriters and designers, or you will be known as a copier.

Not only does that tarnish your reputation but it can get your website shut down. Hosting companies do not have a tolerance for plagiarism and unethical behavior.

Can you create a class based on the same topic as another coach? Of course, you can. But put a twist on it by adding your case studies, discuss the topic from a different perspective, or offer another feature that the first coach does not – such as a private Facebook Group – to make it more appealing and unique.

Want to use some photos in your advertising? Don’t just copy an image from Google Images! Either take your own photos, hire a photographer, or use royalty-free stock photos. Go one step further and check the licenses at stock photo houses to ensure that you’re using the photo correctly for advertising purposes.

In general, stock photos with corporate logos or names are for editorial use only, which means they can be used in a blog post but not an advertisement or endorsement.

Pricing Research

Another significant reason to look at your competitors is to determine what price point your market can handle, but this may require multiple steps. First, check their websites and sales pages. What prices are they charging? What are they offering for that price?

Next check their testimonials and social media profiles. What does their tribe have to say? How active are they on social media? A large number of followers doesn’t mean anything if they are not interacting with them.

Lastly, search for reviews. If people are unhappy with something, they will let the world know about it online, usually more frequently than if they had a wonderful experience.

Again, doing this type of pricing research is not to copy what a competitor is doing but to determine if what you have to offer is priced accordingly. You will likely have differing ideal clients which can impact price. If you’re looking for local clients, your location will play a part in determining the price.

Pricing in New York City, for example, would be much higher than in a smaller, more rural region of upstate New York.

Do You Have an Offline Marketing Plan?

With millions upon millions of people using the internet every single day, it’s very easy as a business owner to get caught up in how to market your business online. But offline marketing is equally important for your business success and shouldn’t be ignored. The two factions really should work hand in hand for ultimate success.

Build Those Relationships

Marketing your business in real life isn’t much different than doing it online except you’re not hiding behind a computer screen. This idea can be extremely intimidating, especially for introverts, but the more you practice your real life interactions, the easier it becomes.

One tip to remember: Marketing does not equal sales. Marketing is about building relationships or planting seeds about your business, so when the time is right, a prospect will remember your name and contact you. You do not need to be in a constant state of selling; answer questions about your business but also ask questions to learn more about your contact’s businesses. You won’t honestly know if you can help each other without listening to what they do.

Local Networking Events

Begin searching for local networking groups or events. Many groups, such as BNI, allow visitors to attend meetings free of charge so ask about that option. After one or two visits, you’ll know if the group will be beneficial to you; if so, join up. If not, search for your local Chamber of Commerce, small business meetups, or other professional networking groups. Use the same criteria for joining local groups as you would for joining Facebook or LinkedIn groups: who is in the group; how you can contribute in a meaningful way; and how will the group benefit you?

Find Local Sponsorship Opportunities

Many local organizations or charities look for sponsors to keep their programs running. Check out your Little League or other youth sporting clubs to sponsor a team or purchase an ad in their outfield. Look for youth theater groups – or even drama clubs in different schools – and pay for an ad in their playbills. Ask if your local places of worship have a weekly bulletin that accepts advertisements. Be smart with your choices; ultimately you still want to target your ideal clients but paying it forward in your community will also bring about some name recognition.

Participate in Community Days

Does your town or those surrounding you have Community Days? Ask about setting up a booth to showcase your business. Print some pamphlets and business cards to hand out. Better yet, create an inexpensive swag bag with your printed material inside, along with a treat for those who stop by your booth. Remember to visit the other vendors and introduce yourself, much like you would at a networking event. Sometimes vendors will become your clients, all because they met you at a local event.

In the end, interacting with your local community and business owners is much like interacting with online followers. Be helpful, be attentive, and be visible to attract clients naturally.

Refine Your Marketing Message

Knowing your ideal audience is important but knowing what they struggle with will help you refine your marketing message even further. Now you can narrow your market even more by telling them how you can help, once you identify those pain points.

The best way, to use PLR articles, is to take a few of them on the same subject. Read them and write a few bullet points of the best ideas you like then make your unique version with your words to make sure that the article is 100% unique to your business.

Now if you do not have the time to do this and you value your time more, than you can choose to get an expert to write your articles for your products or business.

It can save you a lot of problems and headaches, but you will need some money instead. You will very quickly realize that your time is precious and is something that you cannot get back.

The reason for it is because I don’t know about you, but we don’t do New Year’s Resolutions we do REVOLUTIONS.

The reason is they just don’t work for us and many others we know.

Take a moment and think about it…how many resolutions have you kept past the first week of January?

Second: the worst thing about “resolutions” is that we never pay any attention to them, especially if we didn’t write them down and commit to them.

Saying you are going to do something, and TAKING ACTION AND DOING SOMETHING are two very different things. Your actions will make you successful. Otherwise, you will just forget about it in a few days and will continue to do what you were doing the last year!

Instead of creating another dead end resolution that you do not keep past the first week of the New Year, instead make a difference in your life.

We have a simple yet powerful three-step solution to making your goals and dreams a reality.

Successful Step 1: Write down a HUGE AMAZING GOAL for 2015! It has to be a BIG enough one to get you excited and pumped up to wake up each morning and be happy. A Goal that will give you the motivation to do it every day.

It is a known fact that you can accomplish a great deal of work in a few days. Many great accomplishments happened in a YEAR. Do not ever underestimate yourself because inside of you, you have what it takes to accomplish all of your goals and dreams this year. So make sure you write it down and tape it to your computer or wall where you will be able to see it every day.

It will HELP you, and it will remind you about your goals every time you see it. Trust me it works so make sure you do it.

Now for Success Step 2: You need to write down a Twelve-month roadmap which is the path of small action steps that will get you to your goal. Since you have decided and imagined accomplishing your HUGE goal for the next year. Now you need to create a simple but effective road map, write down what you need to do every month and every day starting January and then February and so on.

Example: For us we are setting up a goal of making one million dollars in profit for the year and helping as many people as we can.
So every month we are going to write down what we need to do to move up the ladder.

The first month can be setting up a business license and website. Next month is getting traffic, affiliates and so on.

If your goal is to lose 30 pounds, well you can write down for January what healthy foods you are going to eat daily. What foods to take out that are too fatty, cleaning out your fridge. How long, you are going to start walking and running. Running a mile every two or three days for the first month, and then the second month you can increase to 2 miles every few days and so.

You get the idea.

Make sure that each month has small actions steps not big ones. You need to complete a small portion, and once you have completed the first step, you will feel better about yourself and you will see that it is not that bad. Include it to your daily routine, so you accomplish all small action steps by the end of the month. You need to commit to it and take action.

By doing it in small chunks you won’t feel overwhelmed, and you will be able to accomplish your goals.

Now your third step is taking ACTION and celebrating after each successful small chunk accomplishment.

Every time you accomplish a portion of your goal celebrate. Give yourself a pat on the back. Scream something out loud that inspires you. Take your family out. Give yourself a treat like getting a massage. Anything that you want, but make sure you reward yourself. Rewarding yourself will help you feel good about accomplishing your goals, and it will give you positive motivation for the next month. Taking action will become a habit.

That is it my friend a simple yet powerful three-step solution to making your goals and dreams a reality!
